SharePoint collaboration and layout

SharePoint Online is part of the Microsoft Office 365 product suite. It is a world-renowned intranet and document management system, developed by Microsoft and many partners worldwide. SharePoint’s core functionality is information sharing in the form of Document repositories called Libraries and advanced database like Lists of information that can connect information and documents via custom metadata and columns of tagging. As a DMS and IMS (information management system), SharePoint boasts enterprise functionality such as version control, records management, archiving, advanced tagging and search as well as maintaining the high level of Security across the Office 365 platform. Microsoft have made significant changes in recent years to SharePoint Online to give control of editing and maintenance to the end users, without having to rely on coding, developer knowledge or consulting partners. By using such a widely accessible tool, it ensures endless individuals and companies capable of working with and expanding upon the system.

Here are some examples:
  • Document structure in the cloud to replace your file servers
  • Internal staff sites (intranet sites) for company information such as staff directories, a calendar for important dates and events, a ‘single source of truth’ for commonly used documents and data.
  • Customer self-service portals (extranet sites) where customers can help themselves with anything from accessing documents, checking outstanding balances, leaving feedback or placing and tracking orders.
  • Automating business processes with workflows, such as allowing staff to check their leave balances and submit a request for leave, which is then automatically routed through the approval process with emails and reminders based of basic ITTT (If this than that) logic.
  • A collaboration space where multiple users can access and work on documents and files together in real time. Through appropriate use of permissions and security settings, you can also share documents with external parties such as suppliers and customers, and decide whether they can save or print a document or be restricted to read-only access.
